1. Agreement to Terms
By visiting or using CalTools — including accessing this website, generating an ICS file, or copying a calendar link — you confirm that you have read, understood, and agree to be bound by these Terms of Use.
If you do not agree, please do not use CalTools. That's completely fair and we hold no hard feelings.
If you are using CalTools on behalf of a company or organisation, you represent that you have the authority to bind that entity to these terms.
2. What CalTools Does
CalTools is a browser-based calendar utility. Its core function is to take event details you provide (title, date, time, timezone, location, description) and generate:
- A downloadable .ics file conforming to the iCalendar standard (RFC 5545)
- One-click calendar links for Google Calendar, Outlook.com, Microsoft 365, and Yahoo Calendar
All file generation happens entirely within your browser using JavaScript. No event data is transmitted to any CalTools server. We do not store, log, or process the event details you enter.
CalTools is provided as a convenience tool, similar in nature to a calculator. It is not a calendar application, a scheduling platform, or a means of sending invitations.
3. Free Use
The core CalTools functionality — generating a single ICS file or calendar link set per session — is free to use. No account is required, and we do not ask for your email address or any personal information to use the free tier.
We reserve the right to introduce usage limits on the free tier in the future if necessary to maintain service quality. We will communicate any such changes clearly and in advance.
4. Pro Plan (Coming Soon)
We intend to offer a paid Pro plan in the future. The Pro plan is expected to include features such as bulk ICS generation, CSV uploads, API access, and additional tools.
When the Pro plan launches, it will be subject to its own pricing terms, which will be made available clearly at the point of purchase. Subscription fees will be processed through Stripe, a third-party payment provider. CalTools does not store your payment card details.
Subscriptions will be billed on the cycle you select (monthly or annual) and will auto-renew unless cancelled before the renewal date. We will provide reasonable notice before any price changes take effect for existing subscribers.
Until the Pro plan is officially launched and you have explicitly signed up for it, no charges will be made to you.
5. Acceptable Use
CalTools is designed for lawful personal and professional use. You agree not to use CalTools to:
- Generate calendar files or links containing illegal, harmful, harassing, defamatory, or fraudulent content
- Create content intended to deceive or mislead others (e.g. fake events designed to phish for credentials)
- Attempt to reverse-engineer, scrape, or otherwise extract data from the CalTools website in an automated or abusive manner
- Circumvent or interfere with any security measures we may introduce
- Violate any applicable law or regulation
We reserve the right to block access to CalTools for users or IP addresses that we believe are violating these terms, without prior notice.
6. Intellectual Property
CalTools content
The CalTools name, logo, website design, written content, and source code are owned by CalTools and protected by applicable intellectual property laws. You may not copy, reproduce, or distribute them without our written permission, except as expressly permitted below.
Open-source code
The CalTools source code is published on GitHub. Where published under an open-source licence, the terms of that licence apply to the code. Please see the repository for details.
Your content
Any event details you enter into CalTools remain yours. Because we do not store or transmit that data, we do not acquire any rights to it whatsoever. The ICS files and calendar links generated are yours to use freely.
iCalendar standard
The iCalendar (.ics) format is an open standard defined by the IETF in RFC 5545. CalTools makes use of this open standard and claims no proprietary rights over the format itself.
7. Privacy & Data
We take a straightforward approach to privacy: we collect as little as possible.
Event data
Event details you enter into the CalTools form are processed entirely in your browser. They are never sent to our servers, never stored in a database, and never shared with third parties. Once you close the tab, that data is gone.
Analytics
We may use privacy-respecting, cookie-free analytics (such as page view counts) to understand how CalTools is used and improve the product. Any analytics we use will not track you personally or share your data with advertisers.
Pro plan accounts
If and when we introduce accounts for the Pro plan, we will publish a full Privacy Policy covering what data we collect, how it is stored, how long we keep it, and your rights. We will ask for your consent where required by applicable law.
Cookies
The free tier of CalTools does not currently use cookies. We may introduce functional cookies (e.g. to remember a theme preference) in the future and will update this section accordingly.
8. Third-Party Services
CalTools generates links that open in third-party calendar applications (Google Calendar, Outlook, Yahoo Calendar, etc.). Your use of those applications is governed by their own terms of service and privacy policies — not by ours. We have no control over, and accept no responsibility for, those services.
When the Pro plan launches, payment processing will be handled by Stripe, Inc. Stripe's use of your payment information is governed by Stripe's Privacy Policy.
We are not affiliated with, endorsed by, or officially connected to Google, Apple, Microsoft, Yahoo, or any other third-party calendar provider mentioned on this site. Their names and logos are used for identification purposes only.
9. Disclaimers
CalTools is provided "as is" and "as available" without warranties of any kind, either express or implied. To the fullest extent permitted by law, we disclaim all warranties, including but not limited to:
- Warranties of merchantability or fitness for a particular purpose
- Warranties that CalTools will be uninterrupted, error-free, or free of viruses
- Warranties regarding the accuracy, reliability, or completeness of any output generated
While we make every reasonable effort to generate accurate ICS files and calendar links that conform to the iCalendar standard (RFC 5545), we cannot guarantee that all calendar applications will interpret those files identically, as behaviour may vary between apps and versions.
You are responsible for verifying that any generated calendar file or link correctly represents the event before distributing it to others.
10. Limitation of Liability
To the maximum extent permitted by applicable law, CalTools and its owners, contributors, and operators shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising out of or related to your use of (or inability to use) CalTools.
This includes, without limitation, damages arising from:
- Errors in generated ICS files or calendar links
- Missed events or appointments resulting from an incorrect file or link
- Loss of data or business interruption
- Any other loss arising from reliance on CalTools output
In any case, our total aggregate liability to you for any claim shall not exceed the amount you paid to us in the twelve months preceding the claim — or, if you have not paid us anything, five pounds sterling (£5).
Some jurisdictions do not allow the exclusion or limitation of certain types of liability. In those jurisdictions, our liability is limited to the greatest extent permitted by law.
11. Changes to These Terms
We may update these Terms of Use from time to time. When we do, we will update the "Last updated" date at the top of this page.
For material changes — particularly those affecting paid plan users — we will make reasonable efforts to notify you in advance (for example, by displaying a notice on the site or emailing registered users).
Your continued use of CalTools after any changes are published constitutes your acceptance of the revised terms. If you disagree with updated terms, you are free to stop using the service.
12. Governing Law
These Terms of Use are governed by and construed in accordance with the laws of England and Wales, without regard to conflict of law principles. Any dispute arising under these terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
If you are accessing CalTools from outside the United Kingdom, you are responsible for compliance with any local laws that apply to your use.
